office matter: your opinion and advice

Ok fellows.. just need your opinion and advice...

One of my colleagues made it a normal practice to ask me for help in preparation of all his correspondence in English. He is a very nice guy, and he is taking English course and tries hard to succeed, but his Eng is still a bit weak.  It’s not that I mind to help him, not at all... but sometimes it takes a lot of time, as I have to completely re-write some of his letters, e-mails or even Minutes of Meetings, etc.  Moreover, he submits these papers as if it is HIS job, although it’s rather I am the one who worked on it.

I would like to ask whether someone else has been in the similar situation and how he/she handles it.

Also, how can I let my direct Manager know, that I am the one who is behind of the most of these papers, without being impolite, immodest or obtrusive.

I am not sure how it's to be Hypnotized with one's Karma.. but I think he doesn't have ANY Karma at all, and for sure it's not the one who i would hold my breath on....LOL....

and yeah, about the raise... i have just recently got one...:)

What are the requirements for his job description?

Come on girl, give me a break! Helping here and there, 1, or 3 times is OK, but to make your self his personal secretary, because he cant write English is not a GOOD Excuse.

I rather hire a monkey, who understand sign language in English, instead having a dumb butt. Bad thing about it, he is getting paid better than you, has a better title and gives you "No credit for your efforts and work".

If I had someone with your skills, I'll make sure you get the latest gadgets for your office and your coffee is fresh and ready all the time. Including a nice pay raise.

Unless, you are completely Hypnotized with his Karma, that will be another issue.

how about doing this:

one time, when he ask you to re-edit his letter, make a print-out of his original letter then, provide your the corrected one you did.

Then, approach your manager, asking his opinion.... the one he did and the you did and politely ask him "which is better?"....

indicate that your own work is suffering due to the additional responsibility and that you will assist when you work is completed.

I'm sure you boss will realise that the work isn't the original of the "presenter".

If you are not sure that he realises that the work is yours and as someone else suggested, insert one or two words or phrases that will indicate that it's your work.

hi QS been to that situation and its more than 2 years! some people never learn and worse if they dont take initiative in learning. until now, my staff are doin simple editing and of course correspondences. when i talked to my boss about it, he just say we need to assist them because they dont know...

if only the manager would push them more to learn the basics.

i would definitely not say anything to your manager. i think you would end up hurting yourself in the end. just tell that person you've enjoyed helping, but you know it's better if you don't help anymore. i just don't want this to come back and bite you. take care of you, girl! ;) hope all is going well.....

Sorry Oryx,my dear, but i would never do that one.. i would never ever admit that i am not professional enough, whether it comes to English, or anything else...I’d rather spend days and nights working on it, just to prove otherwise...

First of all you are very nice and kind hearted but in a way your not helping him, in sense you are giving him a chance to learn this lanugae by himself, let him come under the pressure and feel the need of english. If you really want to help him once for all teach him.

you can politely tell them that although you would like to help you are falling behind in your own work so it needs to stop.

A difficult one but handled properly shouldn't upset them x

this is my point: i don't mind helping him.. we all learn, and it's good that he is trying hard.. but.. at the same time I would like my boss to know about it...

by the way.. moreover...sometimes other guys from our head office call me or send me e-mails, asking me "to check" their "essays"..lol..eventually "checking" turns out to be "creating"..lol...

qatarisun, u can also do one thing. whenever ur boss gives u a not-so-important task, n if he comes back askin u whether u managed to do that or so, u cud say 'oh sorry, i was doin this lil bit of translation for so n so, will do it straight away'. thus, he will come to know, you are helpin this guy :-)

I think the thing is here that you are spending alot of time doing someone elses work yet they take the credit......its like copying and pasting and not recognising the original work....nope sorry I would have to say no more......

The best way to let ur direct manager know....tell him directly!! Other methods are there , like putting into the mail any of ur trademark usages or info that he knows that only u know...but its best to tell directly at the right opportunity ofcourse.

Its quite understandable if u feel bad when someone else gets all the appreciation for ur hardwork , but dude, u need to put a limit on those free lunches that you serve!! You are not his secretary for God's sake! I mean once or twice the help is understandable but to continue it??

If you want to send ur bosses a very clear indication tht its not his work, manage to abstain from it for once and let him do it once and take it to them...they'll know if they got any sense.

i have had a similar situation, when i was workin with a palestinian lady, who used to take a lot of help from me. but gud thing abt her was that, she used to carry a note book with her, and she used to take note of all those things that she thinks will be helpful for her future correspondences. then whenever a similar correspondence requirement comes up, she drafts it herself using the help of her notes, and then bring it to me to check them. apart from that she used to make the point clear to everyone in the office that it is with my help she is working and learning. so there were no issues as such.
